Paid Club Administrator required 1 to 2 days per week

We are looking for a new Club Administrator to support the Club. The position is paid and it is envisaged that the role will take 1 to 2 days per week. Full details of the role are below. The role is flexible with you choosing when to do the work.

nThe role will include the following tasks:
n1. Keeping an up-to-date list of all coaches and helpers (including officials) and ensuring that all DBS, licences and self certification forms are up to date. Liaising with coaches regularly to ensure that no new helpers or coaches have started without appropriate checks and add any new ones to the relevant list. Keep copies of forms and licences in Dropbox and work with the welfare officer to ensure all checks are done in a timely manner.
n2. On boarding any new admin helpers for the U11s academy to ensure that they manage the groups following our processes and procedures. It is envisaged that the helpers will take the register but other admin support will be provided by the Club administrator to include assisting with the transfer of year 5 children to their new groups.
n3. Checking the registers of the young groups regularly to ensure that the athletes in the groups are members of the Club (and have paid the right fees) and ensure that the administrators are checking regularly.
n4. Being active at the track one evening a week periodically, for an hour, to touch base with coaches, young groups, and their volunteers. Not every week. This is essential to build relationships with the coaches/volunteers and aid communication.
n5. Supporting Alison to manage the membership database which may include ensuring that records are up to date, keeping a spreadsheet containing key membership data and answering questions from the membership or new joiners. Create saved searches every year and ensure renewal notices are sent. Generate manual invoices and ensure refunds are paid out when required.
n6. Maintaining and managing the Club Dropbox to ensure that all old data is removed, and all relevant documents are retained by the Club.
n7. Booking facilities and check invoices. Supporting coaches with facility hire, communication with venue and liaise with them to find out their requirements.
n8. Supporting the event manager to organise home matches. This would also mean helping on the day (approx. 4 home matches per year).
n9. Updating the website with match information when leagues have given this information.
n10. Keeping the Club's achievements page on the website up to date and make any further amendments to the website requested by the committee. Training will be provided.
n11. Producing a list of fixtures for both the Autumn/Winter and Spring/Summer in consultation with the Head of Track and Field and Head of Endurance.
n12. Keeping the Club's notice board up to date.

n13. Supporting the volunteer coordinator with finding people in the Club to carryout certain roles.
n14. Attending committee meetings (5 per year on Monday evenings).
n The administrator will be paid £10 per hour.
